Welcome to your business guide to Microsoft Outlook. Today we will cover a brief overview of Microsoft Outlook for business use as well as the proper training to bring you up to speed as a productive user.  

We first start with a brief overview of Outlook with a quick look at its features such as distributing list, calendars, Email forwarding, and group Email. Then we will consider the benefits outlook brings to our business such as streamlining business communication, maintaining employee contact throughout the day, keeping track of important information, and increasing the efficiency of external communication.

A distribution list feature is very helpful when trying to reach several people at once instead of individually. Microsoft Outlook can create a distribution list from your Contacts list, and store that distribution list in the Contacts folder. (Outlook, 2010).

-Calendars in outlooks allows a person to keep track of personal activities such as appointments, meetings, training and assignments.

-The Email forward feature is a tool that takes an original email or email chain and sends to the party desired without recreating the email manually.

-The group email feature allows a person to reach out directly to a group within an email instead of each individually.

The first benefit of using Outlook is it allows the Company to streamline its internal business communication. This in turn allows the benefit of all employees being able to stay in contact throughout the day with email notifications, group emails and out of office email forwarding. Another benefit is Outlook allows everyone in the company to keep track of important meeting info and PTO days. Just as important as internal communication Outlook allows the company to communicate with other businesses and clients in a much more efficient manner.

Next we will take a look at the proper training in use of Outlook with a few step-by-step walk-throughs for daily use and how to ensure maximum efficiency from employees using Outlook.

Step 1. The Home tab will be the most resourceful tab in the email process. In the picture, you see that this is where there is the ability to create a new email, create a meeting notice, delete email, reply and move emails into specific folders.

Step 2. The File tab will have the capability to save files, set up an out of office and where you’re able to access your account settings.

Step 3. As the Send and Receive folder can mainly refresh your email for incoming and outgoing email as sometimes when at capacity nothing will be received and sent if folders are at their max.

Step 4. The Folder tab is utilized for creating folders and archives within your email. This is where you’re able to save past emails for future use.

Step 5. The View tab is mainly for the capability to view your email layout. Everyone has a certain preference on how they would like to view their email layout. This is where that capability is changed.
