RFPs are written in different formats and style. As discussed throughout the course, the important criteria for RFPs are that they conform to technical writing principles. When you write your request, evaluate them by asking yourself if you have clearly identified your audience and wrote it appropriately to them. Did you explicitly state the purpose? Was the information complete--that is did you answer the 5Ws and H? And was the design effective, meeting C.R.A.P (Contrast -> Repetition -> Alignment -> Proximity)?

I. General Overview
Example: The Great American Widget Company (Great American) is preparing an upgrade from Microsoft Office 2003 to Office 2007 for our 100 employee company. To provide for a successful implementation, we must include Office 2007 training for our office workers. This RFP is for Microsoft Office Training for all workers. Include additional information about your company including your type of company and business, number of employees, and their expertise.
II. Business Requirements
Describe the business requirements - Explain why you require the training.
Include your confidentiality notice
Specify the items (products and services) on which the suppliers are bidding
State what you will be providing (specific)
State what the vendor should provide (quantify and specific)
State the number of trainers, classes, and equipment that you require
State when classes will begin and end
III. Trainers Qualifications
Specify the minimum qualification of the vendor then ask for
background of vendor company and/or trainer(s)
Let vendors know of the qualifications you want
Description of course material
Additional material (example)
IV. Budget and Costs.
State your budget and what it includes
State the minimum service required for the budget
Request that vendors additional service that they can provide for the budget amount or what their actual cost will be
