A message to the technical support about an employee's computer that has been infected by a virus

A message to technical support regarding an employee’s computer being infected by a virus would be communicated in two (2) ways. First, an email should be sent to the technical support group explaining the situation requesting assistance. This would be done to document the issue and request making it easier to track for those who will be providing the support. Next, a phone call to follow up the email to place emphasis on the urgency of the situation and to ensure the message has been received or noted.

A message from HR to all employees, explaining the changes to the company health plan in the coming year

Coming changes that will affect all employees should be made available on the company website through an employee portal. Once the information is available on the website a notification email could be sent to inform employees that this information is available for them to review. For companies that don’t have those website features a memo or brochure could be created and sent as an attachment to a mass email sent to all employees.

These methods ensure that all individuals received the same information and reduce the risk of confusion. In either method contact information for the HR department should be provided so employees can respond with any questions or concerns regarding the information and how it will impact them individually.

A message from the CEO of a large company to employees, explaining negative news regarding the company appearing on national news channels

When a CEO needs to address his or her employees to explain negative news that has gone public it should be done in a personal and direct way. With the credibility of the company at stake and employees possibly questioning integrity a message of this nature is probably best relayed in a face to face meeting. This allows people to connect and understand the circumstances on a deeper more personal level.
