Re EHS product/service bundle vendor contracts
Dear Madams and Sirs:
I am writing this letter to recommend, after careful consideration, that we terminate our contract with Advanced Environmental Supplies and Logistics for our EHS product/service bundles in favor of awarding the contract to PureFit Environmental.
I was tasked with exploring more possibilities during this contract renewal period in order to identify possible cost savings with another firm. I reviewed three potential vendors in ths exercise: Advanced Environmental Supplies and Logistics (our current provider), Dave’s Really Great Environmental Supply Company, and PureFit Environmental. In this review, I considered which traits exemplified by EHS product/service bundlers are most valuable to our company. The quality of the equipment is of utmost importance to the safety and well-being of our field personnel. That is the most important thing to consider from a vendor of these products and services. Customer service is also very important, as order mix-ups can have dangerous consequences in the field, resulting in illnesses and/or injuries. Customer service issue can also cause delays in orders due to incorrectly noted delivery times, incorrectly noted equipment orders, scheduling conflicts, etc. The flexibility of the vendor in orders is also very important to us in order to ensure our needs are met; that we may order exactly what we need for each specific job and to ensure that we do not have to spend extra money for additional items or for items that we do not need. This is important for storage reasons as well as fiscal reasons. Which brings me to the final trait of importance, which is fair pricing. This review originated from budget concerns, so of course it is important that the vendor is able to provide quality products and services that fit our needs at a reasonable price.
PureFit Environmental performs, based on my evaluation, better than the other two vendors in quality, flexibility, and price. Though we have worked with Advanced Environmental Supplies and Logistics for a number of years, they were on-par with PureFit Environmental’ s order lead time, quality and experience (though Advanced Environmental Supplies and Logistics technically has been in business more years, PureFit has many years behind it as well), and flexibility in ordering. However, their pricing is 24% higher, on average, than PureFit Environmental. Dave’s Really Great Environmental Supply Company, though a hungry firm that has been pursuing us for our business, is a very new company with only about 2 years of experience. They are less flexible than the other firms, but do not yet offer services such as SCBA tank recharge and have unfortunately had some complaints from other customers regarding speed of order delivery matching promises made by the vendor. This, coupled with general longer lead times (14 days vs. 7 days from the other vendors), the fact that stock is limited in the warehouse, and their pricing is 23% higher on average than PureFit Environmental’ s pricing has dropped them from the running. PureFit Environmental, though located in Portland, Oregon, is able to offer recharging of SCBA tanks and discounted disposable tools, like Advanced Environmental Supplies and Logistics, has a similar lead time in orders (7 days or a 4 day rush at additional cost) and offers customizable kits with an extensive stock on hand in the warehouse. The reviews from current customers on service and product quality, as well as in delivery. Their pricing is very competitive and their services are comparable to current state.
