Let’s take a look at the company’s organizational structure and strategy before going to the ARES problems.

Organizational Structure:

  • Multidisciplinary teams stay together from project to project

Team: Squid, bears, merica, playhus, cobra kai (work with any team when is needed)

  • Each team includes: a lead producer and an associate producer; a lead developer, along with another developer; and an art director and two other designers
  • Sit together by project

Strategy:

  • Blur the lines that separated production phase and functional parts
  • Each discipline is involved from beginning to end of every project

Other:

Weekly-based meeting with senior manager, talks about the cost, status, process and so on.

1. What is the ARES System and What it can do?

ARES System helps senior managers track the stage of each project and the availability of various project teams and calculates the labor cost of the project.

It tracks:

  • The project (which project the employee is working on)
  • The phase of the project (which phase the project is in)
  • Work Category
  • Contents

Time frequency would be every 15 minutes.

2. Who can access to the ARES System?

  1. The producer of each project team.

The producers on a project are responsible for the whole—for managing the project, and being the day-to-day direct client contact. Also, Producers take charge of scheduling and assigning specific project tasks.

Thus, allow the producers to access to the system enable them to track the project process and the completeness of the project.  

The daily information the producers generated from the system is used as data communicate with clients. It can also be used when the producer report the status, the process and the work flow of senior manager.

The producer can also use the system to check the availability and the working pattern of other teammates so that they can assign tasks based on their time schedule and working habits.

  1. VP of Production----Ranae

Ranae is responsible for keeping the collaborative gear of BigSpace shift smoothly, which means to deliver product on time and within budget.

The time schedule, work category and details captured in the system enlighten the time spent, labor cost, and the workflow. Also, the VP can estimate time remaining for the project based on those data.
