Background:

A disco event for year 7’s at St. Augustine’s high school if the students have satisfactory attendance and behaviour. The disco is going to be on the 6th march 2013 and tickets will go on sale 8 weeks before the event. There are 180 students in the year group. The client is James who is on the schools event committee. The target audience will be the committee members as they will be using the system. James is talking to an ICT consultant about the organisation of the event being on a computer system. The users of the computer system will be the teachers who are on the schools events committee.

Ticket prices are £20 per ticket but these tickets cannot be reserved. Each student is entitled to a maximum of three tickets. The school does not have a current IT system. The printing company that used to print the tickets are now going to charge the school £0.85 per ticket unlike before, when they charged a one-off payment of £40.

Costs: (last years data)

Marketing costs (from posters to leaflets) - £200

DJ and music costs - £300

Food and drink costs - £250

Ticket printing costs - £40  

Now, 85p per ticket, for printing

Onsite parking costs - £20

The situation: 

One of the current problems that the events committee face in the scenario is that the files are in paper based folders; this can become very disorganised as children come to different teachers at different times of the day. This problem can be solved by using a computer system to organise the amounts of tickets that have been sold an the students from the year who have already brought tickets as different teachers have access to the same document so this does not become disorganised or confusing.

Another current problem would be that calculations are done using a calculator where human mistakes are likely to happen so this might make the amount of money needed/collected become very difficult to handle. This problem can be solved by using an automatic system which does the calculations. This can be done by using formulas in excel which automatically do calculations.

As well as that, another current problem would be that any profits or losses will need to be tracked. This problem can be solved using 'if' statements on Microsoft Excel so that profits and losses can be tracked easily so that things do not become disorganised and committee members do not become confused.

Another problem that is faced by the committee members is that handwriting may be illegible. This problem can be solved by using a computer system. As Microsoft excel is already being used to track profit or loss and the expenses of the event. This will make it easier for committee members to read each others handwriting.

  6. System should be secure so files are not lost as files have been lost in the past.
  7. System needs to be installed in the next 8 weeks.
  8. System should show the profits and losses.
  9. system should be simple an easy to use.
