Re: | Compliance System and Policies Project Alpha |
Comments: | With the rapid growth of Tobis, Inc. over the last year, it is imperative that a new compliance system is to be put in place. Along with the changes in the company wide system, new policies are also going to be introduced within the company to ensure conformity and a smooth transition. Project Alpha will be the name of this transition for the company as it moves forward. Within the year, new hardware will be delivered and installed at each location of Tobis, Inc. It is expected of management, executive and branch managers alike, to participate in the scheduled training which will be located at a decided upon location. Management, along with a training representative, will then pass along the training information to the rest of the companies employees. Project Alpha has been requested by the CEO of Tobias, Inc. Toby Ziegler, CEO of Tobias, Inc, along with Sam Seaborne, COO are the sponsors of Project Alpha and may be reached through email at T_Ziegler@Tobisinc.com and S_Seaborne@Tobisinc.com. The project manager, Joshua Lyman (J_Lyman@Tobisinc.com) will be the point of contact for any inquiries regarding Project Alpha and the project schedule. Other minor stakeholders in Project Alpha include executive and branch managers. The requirement of a minimum of 10 hours hands on training will directly affect those on the management level. The information systems management team will be responsible for the installation of new hardware and the dispersal of training materials company wide. Management that participates in Project Alpha will be provided with the necessary information to relay back to each employee under their supervision. New policies will be effective with the roll out of the new compliance system. Management will have the opportunity to train, hands on, with the new system before system roll out. During training for Project Alpha, any questions and concerns will be addressed and guidelines for proper use of the new system will be given out. Measures of Success To measure the success of Project Alpha, there are different pieces of information that will be taken into consideration. An increase in productivity among branch employees, as well as executives in the company, is just one way to measure success of Project Alpha. Within the first six months, an increase in the level of service of 25% is expected throughout the company. After a full year, the high level of service is expected to be 50% among Tobias, Inc. customers. To accurately measure the MOV, or measurable organizational value, there are different things that must be taken into consideration. Defining the project scope is one such piece of information. The scope of Project Alpha is to stay on schedule and budget throughout the course of implementation of the new compliance software. The schedule for Project Alpha is to have the entire system in compliance within a year from this memo.
