~ Rahul
Introduction
Leadership Conclave is the flagship event of IIM Kashipur. The Conclave provides a platform for interaction and a mutual exchange of ideas and knowledge between the industry and the academia.
Structure
The planning for the event normally starts two months earlier. Before that an organizing committee consisting of faculty and advisor is formed. This year there were three faculty members, two advisors and one OSD in the organizing committee. The committee was responsible for theme, deciding the speakers and contacting them. Sometimes Prof Gautam Sinha also helped by sending urgent emails and invitations. The organizing committee selects student coordinators through interview process. Seven student coordinators chosen, among these members two persons (Tarun Sharma and Srishti Dey) were responsible for reporting directly to the organizing committee. These student coordinators make up the Student Core Team (SCT) members for the event responsible for different functions such as promotion, hospitality and venue, logistics, procurement etc. Supporting teams were also formed such as design team, guest/Speaker coordinator team, disciplinary team, website team, video team, write-up team, anchoring team, registration team, consisting of members (students). These members reported the core team members. A separate team was made just two days before the event for plantations. The objective was to escort our guests to the new campus and plant the saplings. See (Exhibit 1) for chart.
Why two people coordinated with organizing committee? Because they (Tarun Sharma And Srishti Dey) were senior member and based on the experience and relationship with the organizing committee they were given this position.
Why support team? As the event approached support team were formed for smooth functioning of the event as the student core team were busy in last minute arrangement the support teams such as speaker coordinator, registration, disciplinary team helped in the process.
Information Sharing
Information sharing was both vertical and horizontal, but not all information was shared to everyone, only the information vital for their task to particular team or member was passed on. Two senior members from the SCT were in constant touch with the organizing team. They did not hold any formal meetings but important decision was conveyed to these two people. Although centralized decision was being taken by organizing team but SCT had some decision making power. The communication was mainly on emails and WhatsApp and it shifted more on calling as the event day approached. All the supporting teams were told what is expected from them and were given the freedom to go about it.
