1 The first interaction of the system
The first interaction of the system is between the Suppliers and Ka-Ho Oil Terminal. Suppliers are Sinopec Corp. With respective of Ka-Ho Oil Terminal, it is the only oil terminal in Macau and Nam Kwong is the only petro shareholder which holds 95% of the oil terminal.
Three functions are being used between the bidirectional processes, the first function is to estimate how much the petro will be consumed and purchased, the second is purchase the petro from suppliers, and the third function is using high financial techs to buy petro at a reasonable price.
The first function is to calculate how much petro has be consumed and how much will be purchased. Concerning about the consumption of petro, about 20 years ago, all record of consumption of petro from the oil terminal are all made by manual forces. It takes a month to calculate the data of petro consumed, but now with the updated system, the staff at the terminal only needs to click the relevant menu of merely two seconds to keep track of the data of petro consumption in all respects. With regard to how much petro needs to be purchased, it is a rather complicated work to figure it out, the marketing manager is responsible of doing that part. It will cause huge serious problems if the manager can not estimate the right trend of potential consumption of petro. For example, if the purchase of petro can not satisfy the needs of all macau uses, the airport can not operate or cause large area of traffic problems or even threating the ordinary life requirement. So a system was applied into handling analyzing the data for purchase, the system helps to lead to a more efficient and effective way of analysis but avoiding the possible severe mistakes by people who are manually working out the purchase result using rather less developed method.
The second function is to purchase the petro from the supplier, as discussed before in the report, the main supplier of petro is Sinopec Corp, a system is built for collaborating supplier and oil terminal, so both can log into the sytem to check details. For example, the staff at the terminal could check the type of petro the supplier provided, or make the quotation of the petro, supplier then sends back the price information to the terminal. When the terminal is done checking the basic information such as petro type, price and storage , then the terminal makes the final decision to purchase those petro by entering the data in the system concerning about the type and quantity of petro purchase. When the supplier side has received the payment, then they will attach the receipt on the system rather than send to terminal by mail. Compared to the previous operating process, it is more efficient and effective. Before the system was built, staff needed to contact supplier by telephone or email everday, it wasted a lot of time and errors may happen during man made operations.
