1 - SUMMARY OF USEFUL TIPS AND SHORTCUTS

1.        To copy a formula down a column as far as the adjoining column is filled in, doubleclick the AutoFill Handle.

2.        When summing columns, always leave a totally blank row between the last row of data being summed and the summing functions and include this in the summing range.

3.        To adjust a column to “best fit” width, double-click the column border to the right of the column letter.  To adjust the row height to “best fit” height, double-click the row border below the row number.

4.        To adjust all columns in the spreadsheet to their own “best fit” width, click the Select All button at the corner of the spreadsheet, then double-click any column border.

5.        When formatting numbers (ie, using the Comma or Currency Style tools), always select  columns rather than dragging through cells.

6.        To remove dollar signs ($) from numbers use the Comma Style tool.

7.        To select a RANGE (adjacent) of cells, columns, rows or tabs, CLICK the FIRST item then hold SHIFT and CLICK the last item.

To change the size of a range or change the ending point of the range (cells, columns, rows or tabs), hold SHIFT and CLICK on the ending point.

To select through the last filled in cell in a range, hold the Shift key and double-click the arrow on the edge of the cell in the direction you want to select through.  To select through the last filled cell in a column, click on the first cell and Shift+double-click with the arrow at the bottom edge of the cell selector.

To select the current region of contiguous cells, press Ctrl+A.

To view the four corners cells of a selected range, press Ctrl+. (period) to move the white cell from corner cell to corner cell.  Since a range is always extended from the white corner cell, you may need to reposition the white corner cell in order to extend your range in the proper direction.

8.        To select a GROUP (may be non-adjacent) of cells, columns, rows and/or tabs, CLICK the FIRST item then hold CTRL and CLICK the other items in the group.

9.        To mark several files to open at once, click the first name and Ctrl+click the other names.

10.        To close all open files at one time, hold Shift when you click File and choose Close All.

11.        As a shortcut for using the menu, select a range of cells, columns, rows and position the mouse pointer INSIDE of the highlighted range and right-click.  Or position the mouse pointer ON the toolbar or a chart part and right-click to bring up the corresponding menu.

12.        Use the mouse to MOVE a cell or range by positioning the pointer on the outside edge of the selection until the pointer shape turns to an arrow then drag the arrow to move the range.
