Huffman Trucking’s Critical Information Systems

Huffman Trucking, is a nationwide transportation company with almost 1400 employees, including 925 drivers, has four locations throughout the country. To continue with an accessible and standardized company-wide information system, the company designed a system to track necessary forms and employees. This system designed by the programmers of Huffman Trucking is called HRIS. This system is designed track employees on both operational and monetary basis to help keep information maintained by the company and its employee’s records. In this paper I will describe how the system works and how it helps the organizational structure of Huffman Trucking.

Huffman Trucking’s HRIS system is available through the company’s intranet and is only accessible to those in the human resources (HR) department and managers within the company. These records are only kept by the HR department but can be looked at by the managers when needed. In order for these records to be updated, the managers and supervisors must forward original paper work to the HR department who will in turn update the account and make them accessible for viewing. These original papers range from new hire applications, performance reviews, and corrective actions. Once HR has entered all of these forms into the records, they are everlasting and cannot be removed.

This system also enables the HR department to track all requests for Family and Medical Leave Act (FMLA) and all absences associated to FMLA. When an employee desires FMLA, a request form must be filled out and sent to the HR department for consideration and then accepted or denied. Once a choice has been reached, this information is also stored and kept in the HRIS system.

The HRIS system performs four key functions. The first is the recording and maintaining of employee personal information. This is necessary for two main functions, payroll and employee census information. This information includes personal information such as name, address, and date of birth to name a few. To keep up payroll, information like rate of pay, personal tax exemptions, hire date, seniority date, and vacation hours are all maintained in this system and updated every time payroll is done. Company information is also recorded during this procedure to maintain departmental budgets so the correct division is charged for the employee’s hours and pay. This maintains an accurate budget for each department and allows its managers to view the information and make appropriate adjustments. Any employee who needs to make changes to his or her personal information can do so, if he or she has access, over the company’s intranet. If an employee cannot access to the intranet, he or she may present a written form to his or her manager who will forward the record to the HR department.
