When building a new system for any company the person in charge of doing so must get feedback from certain people who use the system. It makes the entire process much easier and less expensive in the short and long runs. If the system is upgraded without the information gathered from current employees than the system will probably not be user friendly or what the company needs. When doing a system upgrade for Riordan Manufacturing, the stakeholders that would need to be interviewed are the owner first to find out what the budget would be for the system change. This will determine whether it is going to be an upgrade or a system overhaul. Then the end-users as stakeholders would need to be spoken to, these are the people who are going to use the system more than anyone else. If they are not spoken with than the system that is upgraded or replaced could be a nightmare for them on a day to day basis. In each interview the question should also be asked if the stakeholders have any other information that wasn’t asked to begin with. This way if there is something that they think is important to add into the system they have the chance to say so. All of this information should then be written down and the system should be drawn out and shown to the stakeholders to see if that will work for them the way that they are looking for, keeping in mind that not everyone’s information is going to be used just the most pertinent and useful, to keep costs down and to keep on track with what will work best for the majority of the people.
The information gathering techniques that should be used would be organizational charts, this would help give an understanding of who in the company would need to be interviewed and how each department may function with the system, making sure to find out who the informal parties are as well that may not be on the chart. The next step would be to actually conduct the interviews, which should consist of multiple steps, which people need to be interviewed, what objectives and questions to go over while interviewing them, prepare and conduct the interview, document and evaluate the interview, interview anyone again that may have more insight and then document a review that covers the interviews. Reviewing the correct way that the system at Riordian Manufacturing is supposed to work due to the fact that as it stands it is run mostly manually, with a lot of paperwork, the documents are probably not up to date or have been eliminated all together. This would then in fact make it so that some people may have to be interviewed again just to be sure which of the documents are correct. Researching the proper system to be put in is also very important, using IT books, magazines, Internet and other IT professionals as research tools, this will allow the systems analyst to get the proper amount of information to do what is needed to the current system. Obviously keeping good records of the interviews and any other information gathered is very important as well as keeping it organized in a way that not just one person can understand what is going on but multiple people can. This way any information that was given is not overlooked, which could cause a domino effect in the way the new system would work.
